Privacy Policy
Last updated: 18 September 2026
This Privacy Policy explains how Nextune Solutions ("we", "us", or "our") collects, uses, and protects information when you use Nextune POS (the "Service"). We are committed to treating your data with care, honesty, and respect for your rights under Kenyan law and other applicable privacy laws.
1. Who we are
The Service is provided by Nextune Solutions, based in Nairobi, Kenya. For privacy matters, contact us at info@nextunesolutions.com or +254 758 699801.
2. What we collect
We collect only what we need to run the Service properly:
- Account details you give us — such as name, email, phone number, and sign-in information.
- Business records you enter — including products, sales, customers, staff, and related entries you choose to store.
- Billing details needed to charge for paid plans (card and similar payment data are handled by our payment partners; we do not keep full card numbers on our systems).
- Basic technical information — such as IP address, device or browser type, and security or error logs — so we can keep the Service safe and reliable.
- Notification tokens, only if you choose to enable push notifications.
3. Why we use your information
We use personal and business information to:
- Provide and support the Service you have asked for.
- Authenticate users and protect accounts from misuse.
- Process billing and send important service messages (for example security or payment notices).
- Improve reliability and fix problems.
- Meet legal and regulatory duties.
4. Your customers’ data
When you store information about your own customers or staff in Nextune POS, you remain the controller of that data. We act as your processor: we hold and process it only on your instructions and to deliver the Service.
We will not sell your customer lists, rent them, or use them to market our products to your customers. You are responsible for collecting and using that data lawfully in your own business.
5. When we share information
We do not sell personal information. We share it only when necessary:
- With trusted providers who help us host, bill, message, or secure the Service — under contracts that require them to protect the data.
- With authorised users inside your own organisation, as you have set permissions.
- When the law requires disclosure, or to protect rights, safety, or the integrity of the Service.
- In connection with a genuine business transfer (such as a merger), with appropriate safeguards and notice where required.
6. How long we keep data
We keep account and business data while your account is active and for as long as needed afterwards to provide the Service, settle accounts, resolve disputes, or meet legal and accounting obligations. When retention is no longer necessary, we delete or anonymise the data in a reasonable time.
You may request deletion of your account. We will honour lawful requests, subject to records we must keep by law.
7. Security
We apply reasonable technical and organisational measures to protect information against unauthorised access, loss, or misuse. No system is perfectly secure; please also protect your passwords and devices. If we become aware of a breach that creates a real risk to you, we will notify you and the relevant authorities as the law requires.
8. International transfers
Your information may be processed in Kenya or in other countries where we or our service providers operate. Where data leaves Kenya, we take steps that are appropriate under applicable law to keep it protected.
9. Your rights
Depending on where you live and the laws that apply, you may have the right to access, correct, delete, or receive a copy of your personal data, and to object to or restrict certain processing. You may also withdraw consent where processing is based on consent.
To exercise these rights, contact us using the details below. We will respond within a reasonable time and as required by law. You may also complain to a competent data-protection authority where one exists for you.
10. Children
Nextune POS is intended for business use. We do not knowingly collect personal information from children. If you believe a child has given us data, please tell us and we will take appropriate steps.
11. Cookies and similar tools
We use cookies and similar technologies where needed for sign-in, preferences, security, and understanding how the Service is used. You can control cookies in your browser; turning some off may limit certain features.
12. Changes to this policy
We may update this Privacy Policy when our practices or the law change. We will post the revised version on this page and update the date above. For material changes that affect your rights, we will give reasonable notice where practicable.
